Frequently asked questions

Everything people ask,with the answers

Grouped by subject, for players and for clubs. Find the subject your question belongs to, or use your browser’s find function if you know exactly what you are after. What follows is what is the same for every tournament on PlayTour. If your question is about one specific tournament, the organising club is your address rather than PlayTour: they decide the categories, the entry fee, the playing times and the terms.

For players

From your first account to the result afterwards. Eight subjects, each with the questions that come in about it.

About PlayTour

What exactly is PlayTour?+

Tournament software for sport. Clubs put their tournaments on it, players enter, and everything in between happens in the same system: the draw, the playing schedule, the scores and the payments. There is a website for finding tournaments, a web application for organisers and an app for players.

Who is it for?+

Amateur sport: the club championships, the Saturday evening darts tournament, the league that runs from September to December. Not for the Olympics, very much for the volunteer assigning courts at eight on a Sunday morning.

Which sports are supported?+

Dozens, from tennis, padel and badminton to darts, chess, bowls, football and running. A tournament is the same thing underneath everywhere: entrants, a format and a way of counting. If yours is missing, tell us. We add it, usually within a few days.

How is my sport counted?+

The organisers choose that per category, to suit the sport: adding up points, sets and games, counting down as in darts, time, distance or height, judges’ marks, placing, or against par. The category says which one is used.

Can I use PlayTour for a league?+

Yes. Alongside a one-day or multi-day tournament you can run a league over several weeks, with a table that grows as it goes.

Which languages is PlayTour available in?+

Dutch and English. A tournament a club sets up in Dutch reads in Dutch; the platform’s own text is in both languages.

Account and signing in

Do I need an account to look at a tournament?+

No. Searching, filtering and reading a tournament’s page work without one. You need an account to enter, so that your entries and your playing schedule belong to you.

What does an account cost?+

Nothing. A participant account is free, permanently, and the same account works at every club and every tournament on PlayTour.

I have forgotten my password+

On the sign-in screen choose "forgotten password" and enter your email address. You will get a link to choose a new one. It is valid briefly, so ask for it again if you do not get to it straight away.

I am not getting any email from PlayTour+

Check your spam folder first and search for playtour.nl. If it is not there, check that the email address in your profile is right: a typo while signing up is by far the most common cause. If it all looks correct and nothing arrives, email us from the address you expect mail on.

Can I change my email address or my name?+

Yes, in your profile. Your entries, your playing schedule and your history stay attached to the same account.

Do I need a separate account per club?+

No. One account works at every club using PlayTour. You see all your entries together, even when they are with different clubs.

Finding a tournament

How do I find a tournament near me?+

Open the events list and put your town in the filter. You can also filter by sport and by a date range. By default you see what is still to come or being played; past tournaments are behind the "also show past events" checkbox.

What does "entry open" mean?+

That you can enter right now. "Announced" means the tournament is planned but entries have not opened. "Entry closed" means the date has passed or everything is full. "In progress" means it is being played today.

Why is there no price on the card?+

Because the entry fee belongs to the category. A tournament usually has a men’s singles, a women’s doubles and a junior category, each with its own fee. One price on the card would be a number picked at random. The tournament page shows what each category costs.

And the level?+

The same reason: it belongs to the category rather than to the tournament. The tournament page shows per category which level, which ages and which gender it is for.

I can hardly find any tournaments in my sport+

Then there are few on PlayTour in that sport at the moment. The list shows what is really there, we do not pad it out. If your sports club does not put its tournaments on PlayTour yet, tip them off: a free account costs them nothing.

I was sent a link to a tournament but I cannot find it in the list+

Then the organisers have made it unlisted. It appears in no listing and does not come up in the search results, but it stays reachable for anybody with the link. Were you given an eight-character code instead of a link? In the app, go to Events and choose Enter with an invitation; type it there and you land on the same page. Entering, paying and your playing schedule all work exactly the same.

Entering

How do I enter?+

You create a free account, choose the category you want to play and say who is taking part. Then you confirm the entry. The Help with entering page walks through those steps in full.

How long do I have to enter?+

Until the category closes, and sometimes less if it fills up first. Every tournament card shows how long you have.

The category is full. Can I still do anything?+

If the organisers use a waiting list you can join it and move up as soon as somebody withdraws. If there is no waiting list you can still ask the club whether anything is possible.

My entry says "pending". Now what?+

Either the payment has not completed or a teammate still has to confirm. Your entry says which of the two. Once it is settled the status moves to confirmed by itself and you are told.

Can I enter more than one category?+

Usually yes, and you enter each category separately. Organisers can set a maximum number of categories per player; if you have reached it, you see that as you enter.

How do I withdraw?+

From your own overview, on the entry. The organisers are notified. Whether money comes back depends on that club’s terms.

Paying and refunds

What does it cost to take part?+

The organising club sets the entry fee itself, per category, and it is shown beside each category on the tournament page. A participant account is free, and PlayTour charges nothing on the entry fee — not once collecting entry fees online is live either.

Which payment methods are there?+

Paying online is coming soon. Until then the organising club decides how you settle the entry fee, and says so with the entry.

My payment failed or is stuck+

Then your entry stays pending and your place is not secured yet. You can start the payment again from your own overview. If it still says so after an hour, email us with the tournament, the category and the email address you entered with.

I cannot make it after all. Do I get my money back?+

The organising club decides that, not PlayTour. Many clubs refund up to the closing date and not after it. Their terms are attached to the entry, and you agree to them as you enter. While paying online is not live yet, the club arranges the refund itself.

Can I give my place to somebody else?+

If the organisers allow it, yes. That is a transfer and goes through them, so the paperwork and the payment stay consistent.

Can I pay for anything besides the entry fee?+

Only if the club offers those extras. Some tournaments add a shirt, a lunch or an evening meal, which you order along with your entry. If nothing is listed beside the category, this club does not offer it.

Doubles and teams

How do I enter my doubles partner?+

Choose the doubles category and enter their email address. They get an invitation and confirm themselves. Until they do, your entry is pending, and the organisers see it that way too.

And a whole team?+

The same, with more people. You can invite everybody individually or share a join code they use to add themselves, which is easier for a team whose email addresses you do not all have.

My partner has no PlayTour account+

They do not need one beforehand. They get an email invitation and create a free account while accepting it. After that they are on your entry.

My partner is not responding to the invitation+

Ask them to check their spam folder, and check that the email address is right. You can send the invitation again or put in a different partner for as long as entries are open.

Can I still swap my partner?+

Until entries close you can replace somebody yourself. After that it goes through the organisers, because by then there is a playing schedule hanging off it.

Who pays for a doubles pair or a team?+

The organising club sets that. Sometimes whoever enters pays for everybody, sometimes each player pays their own share while confirming. You see which of the two as you enter.

Schedule and results

Where do I see when I play?+

Your own overview shows your playing schedule as soon as the organisers have drawn and published. Each match shows the time, the court and your opponent.

When is the schedule published?+

The organisers decide that, and it is usually shortly after entries close. You are notified as soon as it is there.

I cannot play at a certain time+

Say so before the draw. Many tournaments ask when you are unavailable as you enter, and the planner takes it into account. After the draw a match can still be moved, but that is up to the organisers.

The schedule has changed. How do I find out?+

You are emailed, and get a notification on your phone if you have those switched on. Your overview always shows the current time, so that is the one to go by.

Who enters the scores?+

It varies: sometimes the referees, sometimes the players themselves at the court. An entered score shows up in the standings immediately. If something is wrong, tell the desk; a correction stays visible in the log.

Where do I find the result afterwards?+

On the tournament’s page, including after it has finished. In the events list, tick "also show past events" to find it again.

The app

Is there an app?+

Yes, an app for players. It holds your entries and your playing schedule, and it notifies you the moment something about your match changes.

Do I need the app to take part?+

No. Entering, paying, checking your schedule and following the results all work in your browser. The app is mainly handy on the day itself.

Will I be notified if my match moves?+

Yes, if you have notifications switched on. You also always get it by email, so you do not miss it if you do not use the app.

Which phones does the app run on?+

It is one app that runs on iPhone and on Android. You need iOS 16 or newer, or Android 8 or newer. You sign in with the PlayTour account you already have, there is nothing separate to create.

Does the app work without an internet connection?+

You need a connection. If you drop out of signal the app says so and whatever it had already loaded stays readable. Entering and paying do need a working connection.

Is there an app for organisers too?+

Organising happens in the web application rather than in the player app. That is deliberate: drawing, scheduling and configuring are done with a proper screen, and the tournament desk has its own view for entering scores.

For clubs and organisers

What a tournament committee usually wants to know before deciding to give it a try.

Getting started

How do we set up our first tournament?+

You create a free account, create your club, invite your fellow volunteers and put the tournament in with its categories, entry fees and closing dates. Then you publish and entries can come in. The Help with organising page walks through it step by step.

Can we set a tournament up before anybody is looking?+

Yes. A new event starts as a draft and nobody sees it, not even with the link. Publishing is a separate step and opening entries is another one after that, so you can announce the date early and open the gates at a moment you choose.

How long does it take to move across?+

That depends mostly on the number of categories: you set up the club, the venue and the categories once, and publishing is a matter of minutes after that. You do not have to import a membership list, because players enter themselves with their own account.

Is our sport supported?+

Probably. PlayTour works with dozens of sports, because a tournament is the same thing underneath everywhere: entrants, a format and a way of counting. If yours is missing, tell us. We add it, usually within a few days.

Do our members need an account?+

Yes, and it costs them nothing. With an account they see their own entries, follow their playing schedule and enter the next tournament in a few clicks. You do not have to maintain a membership list yourself.

Can several volunteers work on it at once?+

Yes. You invite them and give each person a role, from read-only to full management. That way the tournament desk can enter scores without being able to reach the finances.

Running your tournament

Which formats are there?+

Groups, knockout with or without a losers round, double knockout, Swiss system, and mass start for running, cycling and triathlon. You can put phases one after another, for instance a group phase that leads into a knockout.

Does the scheduling take our courts into account?+

Yes. Courts, tables, pitches and halls are resources in the playing schedule, with opening times and blocks. You can fix per category, phase or round where play happens, or leave it open and let PlayTour choose from what is available.

Can we still change things halfway through?+

Yes. Moving a match, replacing a player, cancelling a category with a refund: all of it is possible during the tournament, and the players affected are notified. Every change goes into the log.

Can we run a private tournament?+

Yes. A tournament is either public, and then it appears in the search results on playtour.nl, or unlisted, and then people get in with its link or its eight-character invitation code. Everything works the same, it just is not in any listing.

How do we reach our players?+

With an announcement to everybody or to the people in one category. It arrives by email and as a notification on their phone. Sent messages are kept, so what was communicated can be checked afterwards.

Can we use more than one venue?+

Yes. Within a single tournament you can play at more than one venue, and the scheduling takes that into account.

Costs and plans

What does PlayTour cost a club?+

There is a free plan with three tournaments at once and fifty participants per tournament, and paid plans per year. You pay per club rather than per tournament or per player, so how many tournaments you run does not change the price. The pricing page says what each plan includes.

Is there a setup fee or a notice period?+

Neither. You can stop or move to another plan at any time.

Are the amounts inclusive of VAT?+

No, the amounts on the pricing page are exclusive of VAT. PlayTour sells to organisations, and how VAT works out depends on where your club is established and whether it is VAT-registered.

Are transaction costs added to the entry fee?+

No. PlayTour charges nothing on the entry fee at the moment: no percentage and no amount per entry, whichever plan you are on and whoever collects the money. So the player pays exactly what your club published. If a charge is ever introduced, you will hear it from us before it starts.

How do we get our money?+

Your players’ payments run through your own club’s payment settings. You have a financial overview per tournament and across the year, and each entry shows whether it has been paid.

What happens when we outgrow the free plan?+

You move to a paid plan without re-entering anything. Your tournaments, your players and your history stay where they are, and you gain the draw, the playing schedule, live scoring, collecting entry fees and your own club logo.

Privacy and data

Who can see my details?+

The club you enter with sees what it needs in order to run the tournament. Other clubs do not: each club’s data is fully separated from every other. This website, which anybody can read, carries no player details at all.

Is my name public on this website?+

No. This public website carries no player details. Inside the application, the people at the tournament you are playing in see your name in the draw and the playing schedule, because otherwise they would not know who they are playing.

Are the organiser’s contact details public?+

On the tournament page inside the application, yes, because that is where you need to find them. On this public website, no: at an amateur club that is often a volunteer’s own telephone number, and it does not belong in a listing anybody can fetch.

What happens to my data after the tournament?+

Your entries stay in your own history, so you can look back at what you have played. The club keeps what it needs for its own records of that tournament.

Can I delete my account?+

Yes. Get in touch and we will arrange it. Data a club needs for its own records of a tournament you played in may stay with them.

Does PlayTour record what was changed?+

Within a tournament, yes. Changes to entries, scores and the playing schedule go into a log, along with who made them. It is there for the organisers, so an argument afterwards can be settled with facts.
