PlayTour
For clubs and associations

Your tournament,without the puzzling beforehand

No entry list in a spreadsheet, no messages about who plays when. PlayTour handles the entries, the draw and the playing schedule. You get on with the sport.

What PlayTour takes off your hands

The entry list, the draw and the money are usually kept apart. In PlayTour they hang together, so you never update the same thing twice.

One entry list that is always right

You put your categories online with their own entry fee, capacity and closing date. Players enter themselves, the waiting list moves up the moment somebody withdraws, and you never update a list again.

Draw and schedule in one go

Groups, knockout, double elimination, Swiss or a mass start: you pick the format and PlayTour divides the field, books the courts and tells you when two matches get in each other’s way.

A clear view of what comes in

Every entry says whether it has been paid, and every tournament says what is still outstanding. Collecting entry fees online is coming soon; until then you track payments the way you do now.

How your tournament gets online

  1. 1

    Set up your club

A name, your club logo and the people who help out. Every volunteer gets exactly the rights they need.

  2. 2

    Build your tournament

Date, venue, categories, entry fees and capacity. You choose per category how it is played and how it is scored.

  3. 3

    Publish and share

Your tournament appears on playtour.nl and can be found there. Prefer to keep it to your own members? Share the link or the invitation code and it stays out of every listing.

  4. 4

    Draw, play, finish

After entries close you make the draw, publish the playing schedule and the courts enter the results. The final standings are ready when the last match is.

This is what it looks like

These are real screens from PlayTour, of a tournament being played right now.

Overview

One screen that says how it stands

How full each category is, what is waiting on a decision and who is on the waiting list. One look tells you whether there is anything to do today.

  • Occupancy per category and whether it has been drawn
  • A notice the moment something needs attention
  • Every tournament your club runs under one dashboard

Categories

Each category its own entry fee, format and capacity

Men’s doubles as a sixteen-pair knockout, mixed as three groups of four, juniors free: that is three settings, not three systems.

  • Its own entry fee and number of places per category
  • Groups, knockout, double elimination, Swiss or mass start
  • Restricted by age, gender and level

Each category its own entry fee, format and capacity

Entries

The entry list updates itself

Players enter themselves. You see the status, the payment and the amount per line, and can transfer or import where you have to. Collecting entry fees online is coming soon.

  • Status and payment per entry, with nothing to keep by hand
  • Pairs and teams confirm themselves
  • Import and transfer when it has to be done by hand

Draw

A playing schedule you can put on the wall

Press draw and the whole knockout is there, seeded. Set scores arrive while it is being played, so the bracket is right all day.

  • Seeding from ratings, as a proposal you adjust
  • Set scores and the court on every match
  • Winners move through by themselves

Scheduling

Courts that really count in the playing schedule

Tick which courts are in play and, if you want, say per category, stage or round where it is played. Leave it empty and PlayTour picks from what is booked.

  • A court choice per category, stage, group or round
  • Several venues inside one tournament
  • Clashes are reported before you publish

Match day

The order of play per court, current all day

Who is on which court at what time, and whether that match is played, in progress or ready. If it runs late you reschedule and the players affected are told.

  • A column per court, first match to last
  • Reschedule during the tournament
  • Rescheduling emails everybody whose own times changed

Results

Results entered at the scoring desk

Fill in each set and save. The standings, the progression and the final ranking follow from it, and a correction stays visible in the log.

  • Entry that fits the sport: sets, points, time, distance or judges’ marks
  • Group tables and rankings update themselves
  • A separate view for the scoring desk

Communication

Reach everybody, or just one category

One message to every player or to the people in a single category. It arrives by email and as a notification on their phone.

  • Choose the recipients per category
  • Email and push in one go
  • Sent messages are kept

Extras

Sell more than entries

On the largest plan you sell more than the entry: a tournament shirt with sizes, a lunch package, a voluntary contribution with a free amount. Each size shows how many are ordered and how many are left.

  • Variants with their own stock, for example per size
  • A fixed price, or an amount the player chooses
  • Ordered while entering, so it is settled up front

Money

One view of what came in

What came in, what was refunded and what the club is left with. Below it is what still has to be handed out, so the desk knows what is waiting.

  • Per tournament and across the whole year
  • The PlayTour costs stated separately, so they can be followed
  • Open orders with counts, ready to tick off

What your club can do depends on your plan, and you pay for it per club, per year, not per tournament and not per entrant. The free plan gives three tournaments at a time and fifty participants per tournament, with no card and no notice period; if you outgrow it you move up without re-entering anything.

What clubs usually ask first

Do you support our sport?+

Probably. PlayTour runs dozens of sports, from tennis and padel to darts, chess, bowls and running, because a tournament is the same thing underneath everywhere: entrants, a format and a way of counting. If yours is missing, tell us. We add it, usually within a few days.

Do our members need an account?+

Yes, and it costs them nothing. With an account they see their own entries, follow their playing schedule and enter the next tournament in a few clicks. You do not have to keep a membership list yourself.

Can we run a closed tournament?+

Yes. A tournament can be public, in which case it can be found on playtour.nl, or unlisted, in which case people get in with the link or with the eight-character invitation code they enter in the app. Everything works the same; it simply is not in any listing.

What if we have to change something halfway through?+

You can. Moving a match, replacing a player, cancelling a category: all of it works during the tournament, and the players affected are told. Every change goes into the log.

Who pays the costs, us or the player?+

You set the entry fee, and that is the amount your club receives. PlayTour charges nothing on it: no percentage and no amount per entry, whichever plan you are on. So the player pays exactly what the tournament page shows. The plan itself is paid per club, per year, not per tournament and not per entrant.
