Version 2026-10-04, in force from 24 October 2026. The Dutch version is the original; this is a translation, and in case of any difference the Dutch text applies.
1. Who we are
PlayTour, Aletta Jacobsstraat 23, 7421 HN Deventer, the Netherlands. Reachable at [email protected]. PlayTour is offered by a natural person trading under this name; there is no Chamber of Commerce registration yet because nothing is invoiced during this early stage.
2. What these terms cover
Use of PlayTour: the website, the organiser application and the participant app. They apply to anyone who creates an account or uses the platform.
They do not cover the tournament itself. A club running a tournament may set its own terms on entry fees, withdrawals, rules of play and what happens in bad weather. Those terms belong to that club and appear on the tournament's page.
3. Your account
You create an account with a valid email address and your own details. One account belongs to one person; sharing an account is not allowed. You are responsible for your password and for what happens through your account.
If you notice someone else can reach your account, tell us at [email protected].
4. What PlayTour costs
Nothing at the moment, and that is a deliberate choice. PlayTour is in its early stage. We offer the platform free of charge because we want to learn how clubs actually use it: which sports need adding, how an event really runs at your club, and where the software gets in your way. That feedback is what makes the application better and more stable, and what lets it fit the sport as it is actually played. It is worth more to us than what we could charge today.
So no subscription is active, nothing is charged and no payment facility is set up. Ask for the rates and you will get them; they are simply not on the site.
If we introduce charges later it will not happen silently: you will hear about it beforehand, you will see the terms that come with it, and you can choose not to continue.
If a club charges an entry fee for its tournament, that is between you and the club. The money goes to the club, not to PlayTour.
5. What you may not do
- Enter other people's data without being entitled to.
- Use the platform for anything other than running or entering sports events.
- Attempt to break in, bypass security, or overload the system.
- Harvest data from the platform, such as collecting entry lists.
- Post content that is abusive, discriminatory, misleading or unlawful.
- Pretend to be someone else, or a club you do not work for.
Found a security problem? Report it to [email protected] and give us the chance to fix it before making it public.
6. Availability
We do our best to keep the platform running, but we promise no percentage and no recovery time. PlayTour is made by a small team. Maintenance may cause short interruptions and we try to schedule those outside tournament hours.
If something important depends on it: keep the essentials outside PlayTour as well. Nobody ever regretted a printed schedule at the desk.
7. What you post
What you put on PlayTour stays yours. You grant us the right to display, store and process it as far as needed to deliver the service. No further: we do not use your content for advertising and do not sell it on.
You warrant that you are entitled to post what you post. That applies especially to photographs of people and to other people's data.
PlayTour itself remains ours: the software, the design, the name and the logo.
8. If something goes wrong with an account
We may suspend or end an account where these terms or the law are broken, or where an account endangers the platform. We will try to make contact first, unless that would be irresponsible.
You may stop at any time. A button to delete your account is still being built; until then, email us and we will arrange it.
9. Liability
9.1 The platform is provided as it is
PlayTour is provided as it stands, without any warranty. We do not guarantee that the platform works without interruption or error, that it is fit for your particular purpose, that data is always available or complete, or that any calculation, draw, schedule or result is correct. Check what you publish and what you run.
9.2 What we are not liable for
So far as the law allows, we are not liable for damage connected with PlayTour, including: consequential loss, lost profit, lost revenue, missed entries and lost savings; loss, corruption or unavailability of data; damage from unavailability, maintenance, faults or delay; damage from an incorrect draw, schedule, result or grading; damage arising from what you or anyone else puts on the platform or from publishing it; damage caused by third parties, including participants, clubs, suppliers and services we depend on; and reputational or non-material damage.
9.3 A limit on what does fall to us
Where liability remains after the above, it is limited, per event and in total per calendar year, to the amount you paid PlayTour for use of the platform in the preceding twelve months. PlayTour is offered free of charge during this early stage, so that amount is currently nil. A series of connected events counts as one event.
9.4 Report damage in time
A claim lapses if you do not notify us in writing within thirty days of discovering the damage, or of the moment you could have discovered it, and in any event twelve months after the event it rests on.
9.5 What these limits do not cover
These limits do not apply in cases of intent or deliberate recklessness on our part, nor to damage from death or personal injury. If you are a consumer, your mandatory rights apply whatever else this document says. That is not goodwill but the law: a clause going further than the law allows is voidable.
9.6 Force majeure
We are not required to perform where force majeure prevents it. That includes failures at our hosting or other suppliers, loss of internet or power, cyber attacks, government measures, and events reasonably beyond our control.
9.7 The tournament belongs to the club
The organising club is responsible for the tournament itself: the organisation, safety on site, the rules of play, the result, collecting and refunding entry fees, and communication with participants. PlayTour is not a party to the agreement between a participant and a club and is not liable for it.
10. Terms for clubs and organisers
If you use PlayTour to run a tournament, this chapter applies to you as well.
10.1 You are responsible for your participants' data
Under the GDPR you are the controller for everything to do with your tournament, and PlayTour is the processor carrying it out. In practice: you ask only for data you genuinely need, you tell your participants what you do with it, you have a lawful basis, you decide what to publish and carry the consequences, and you handle participants' requests about their data.
If you enter someone who has no account, the duty to inform them rests with you.
This chapter and our privacy statement together set out how PlayTour handles your participants' data as a processor. If you also want a separate data processing agreement, request one at [email protected].
10.2 Making the entry list public
You can set a tournament's entry list to public. If you do, your participants' names appear on a page anyone can see and search engines can find. That is your decision and your responsibility. Make sure your participants know before they enter, and take extra care with junior tournaments.
10.3 Participants' health data
Where participants fill in medical notes or dietary requirements, you as organiser can see them. They exist for first aid and catering. Use them only for that, do not pass them on, and do not keep them beyond the tournament.
10.4 Your staff
You can give people access to your organisation. You are responsible for whom you admit and what they do. Remove access as soon as someone no longer works for your club.
10.5 Messages to participants
You can message the participants of your tournament through PlayTour. Use it for what concerns the tournament. Do not send advertising for anything else through this channel.
10.6 Your own terms
You can publish your own tournament terms and have participants accept them. PlayTour records who accepted what and when, but is not a party to that agreement and does not assess its content.
10.7 You indemnify us against claims about your tournament
If a third party brings a claim against us relating to your tournament, you indemnify us and reimburse the costs we reasonably incur in defending it. This covers claims about the data you enter or publish, photographs and texts you post, the way you handle personal data, and the running or cancellation of your event.
10.8 Stopping
If you stop using PlayTour, let us know and we will agree what happens to your data. If you need it, ask and we will supply it.
11. Changes
We may change these terms. Each version has its own number, and when you sign up we record which version you accepted. For a material change we will tell you and ask you to accept again.
12. Complaints and disputes
Send complaints to [email protected]. Dutch law applies to these terms. If we cannot resolve it together, the dispute may be put to the competent Dutch court. If you are a consumer you may also go to the court of your own place of residence, and you can use the European ODR platform.
